As a Phone Operator and Customer Service Representative at arenaflex, you'll play a vital role in delivering exceptional customer service, promoting our medical and aesthetic services, and driving growth. Your primary responsibilities will include answering incoming calls from current and new patients, confidently and pleasantly answering inquiries, and scheduling appointments in our system. You'll also be responsible for managing a high volume of inbound calls in a timely and customer service-centric approach to assist patients with navigating their healthcare experience.
**Key Responsibilities:**
- Answer incoming calls from current and new patients, addressing their inquiries and scheduling appointments in our system
- Provide exceptional customer service, promoting our medical and aesthetic services, and driving growth
- Schedule patient appointments, ensuring timely and efficient management of our patient flow
- Read and analyze patient records, maintaining confidentiality and adhering to HIPAA and practice-specific compliance guidelines
- Develop a thorough understanding of medical and cosmetic terminology, as well as each cosmetic procedure, to effectively communicate with patients
- Articulate the value of each service and product, encouraging patients to schedule appointments for more in-depth customized evaluations
- Discuss fees and financial obligations with patients upon scheduling, retaining deposits upon cancellations within policy parameters
- Maintain professional appearance, adhering to arenaflex's dress code and grooming standards
- Support the mission, vision, and core values of arenaflex, attending all in-house training and committing to continued education
**Secondary Responsibilities:**
- Provide high-quality medical and aesthetic customer service at the checkout desk on a weekly basis, achieving and maintaining checkout desk proficiency
- Develop a thorough understanding of each provider's specific scheduling guidelines, ensuring seamless communication and coordination with our team

**Qualifications:**
- Experience working in a Medical or Day Spa, dermatology practice, or cosmetic retail environment
- Experienced in phone skills, customer service, and sales, with a strong interest in the skin care, beauty, and wellness industries
- Demonstrate computer literacy, including the use of office EMR systems
- High school diploma required; higher education preferred
