We're seeking an experienced and highly skilled Administrative Virtual Data Entry Assistant to join our team. As a key member of our support staff, you'll play a vital role in ensuring the smooth day-to-day operation of our office. **About the Role**
As an Administrative Virtual Data Entry Assistant, you'll be responsible for a wide range of administrative and clerical tasks, including:
* Accurately and efficiently inputting and updating data into arenaflex's databases and systems
* Managing and growing arenaflex's social media presence across all platforms
* Creating and scheduling engaging content, implementing social media campaigns, and analyzing and reporting on performance
* Providing support to managers and employees, assisting with daily office needs, and managing general administrative activities
* Maintaining accurate and up-to-date data in digital databases
* Developing and maintaining filing systems, transferring data from paper formats to computer files or database systems, and verifying data by comparing it to source documents
**Responsibilities**
* Answer and direct phone calls, organize and schedule appointments, and plan meetings and take detailed minutes
* Write and distribute email, correspondence memos, and assist in the preparation of regularly scheduled reports
* Develop and maintain a filing system, transfer data from paper formats to computer files or database systems, and type in data provided directly from customers
* Create spreadsheets with large numbers of figures without mistakes, verify data by comparing it to source documents, and update existing data
* Retrieve data from the database or electronic files as requested, perform regular backups to ensure data preservation, and sort and organize paperwork after entering data to ensure it is not lost
* Update and maintain office policies and procedures, order office supplies and research new deals and suppliers, and maintain contact lists
* Submit and reconcile expense reports, provide general support to visitors, and act as the point of contact for internal and external clients
* Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
**Requirements**
* High school or college degree
* Strong computer literacy skills, excellent attention to detail, and experience with Microsoft Office
* Ability to type 45 WPM, knowledge of touch typing system is strongly preferred
* Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, etc.)
* Working knowledge of office equipment and computer hardware and peripheral devices
* Basic understanding of databases
* Good command of English both oral and written and customer service skills
* Great attention to detail
**Preferred Qualifications**
* Proven experience as a data entry clerk
* Familiarity with arenaflex's industry and previous experience as a Secretary or Executive Administrative Assistant
* Knowledge of office management systems and procedures, working knowledge of office equipment, and proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
* Excellent time management skills and the ability to prioritize work, attention to detail and problem-solving skills, and excellent written and verbal communication skills
* Strong organizational skills with the ability to multi-task
