The Opportunity We are seeking a highly organized, execution-focused Executive Assistant to support executive leadership within a structured operating model. This role is designed for someone who takes pride in precision, follow-through, communication, and reliability. You will work closely with leadership in an environment where clarity, accountability, and execution consistency are foundational. This is not a traditional “wear every hat” assistant role. We believe in structured execution, clear priorities, and sustainable operating rhythms. Core Responsibilities Executive calendar management with 2-week forward visibility Travel planning and coordination (flights, lodging, transportation, itineraries) Meeting preparation, coordination, and logistics Action item tracking and follow-up Expense reporting and administrative support Maintaining organization and accuracy across executive workflows Supporting communication flow and scheduling alignment across teams How We Operate Priorities and structure are defined at the leadership level The Executive Assistant role is execution-focused You are responsible for accuracy, organization, follow-through, and communication Work is performed within a defined operating system designed for scale and efficiency Communication is expected to be proactive, timely, and clear How Work Is Structured & Measured (Important) This role operates within a defined execution model designed to maximize impact within a part-time structure. We prioritize clarity, discipline, and measurable outcomes. High-Level Time Allocation Model Within a 15–25 hour workweek, time is intentionally allocated across core responsibilities: Calendar Governance (~40%) — Maintaining a clean, accurate, and forward-looking executive calendar Travel Coordination (~25%) — Planning and confirming logistics with appropriate buffers Meetings & Follow-Ups (~20%) — Ensuring alignment, preparation, and closed loops Administrative Support (~15%) — Expenses, documentation, and support tasks This structure ensures focus on the highest-impact areas of executive support. Priority Philosophy Work is executed based on clear priority tiers: Priority 1 Calendar accuracy Confirmed meetings Near-term travel coordination Priority 2 Scheduling Follow-ups Coordination Priority 3 Administrative and non-urgent tasks Priority 1 work is always completed before moving to lower-priority items. Capacity Discipline This role requires active management of time and priorities: Time is allocated before tasks are accepted When capacity is full, work is reprioritized—not silently absorbed Clear communication is expected when priorities exceed available time This ensures consistency, accuracy, and sustainable execution. Success Metrics (What Good Looks Like) Performance in this role is measured by outcomes, not activity: Calendar consistently maintained with 2-week forward visibility Zero missed meetings, conflicts, or scheduling gaps Travel fully coordinated and confirmed 5–7 days in advance Clear visibility into priorities, progress, and constraints Consistent follow-through with no dropped items Operating Discipline You operate within a structured system designed for scale You communicate proactively and early when risks or constraints arise You take full ownership of execution, accuracy, and follow-through Growth & Progression This role begins with a focus on execution excellence.
