Position Summary
The Entry Level Remote Data Entry Specialist at careerzynith is responsible for performing daily reconciliation, trade processing, and transfer activities across a variety of investment products. While the role is classified as entry level, it carries significant responsibility, as your work directly impacts customer and advisor accounts. Your primary deliverables will include processing exchange buy and sell transactions within customer profiles, identifying and addressing reconciliation breaks between careerzynith systems and fund companies or transfer agents, and ensuring that all corporate action events are managed with precision.

Key Responsibilities
Daily Transaction Processing
- Process exchange buy and sell transactions in customer profiles accurately and within established service level agreements.
- Reconcile trade activity between careerzynith systems and external fund companies or transfer agents.
- Identify, investigate, and resolve reconciliation breaks in a timely manner to minimize risk and disruption.
- Manage corporate action events, including processing dividend payments and reconciling transfer activity.
- Ensure all trading, dividend, transfer, reconciliation, and corporate action tasks are completed with a high degree of accuracy.
Analysis and Compliance
- Review subscription deals and transaction requests for completeness and accuracy.
- Handle client and advisor level exceptions in accordance with established procedures.
- Ensure compliance with regulatory obligations, including but not limited to Rule 2340 and 15c3-3 requirements.
- Perform settlement of trade, dividend, and transfer breaks across the Back Office System (BOS) and fund companies.
- Review and interpret applicable tax codes, making necessary corrections to tax coding as required.
Problem Resolution
- Investigate internal and external system issues or enhancements that may impact transaction processing.
- Determine the root cause of breaks between careerzynith, fund companies, and other counterparties.
- Propose process improvements or technology-based solutions to management for recurring issues.
- Remediate transmission problems with funds or contra agencies in a timely manner.
- Escalate complex or high-risk issues to senior team members when appropriate.
Customer and Business Partner Support
- Respond to business partner inquiries regarding fund-specific requirements and eligibility.
- Provide status updates on alternative investment transfers to expedite client requests.
- Remediate out-of-order issues quickly and professionally to maintain client satisfaction.
- Complete client trading and dividend requests accurately and within committed timelines.
- Communicate primarily with Retail and Institutional business teams via email, phone, Slack, Outlook, and Salesforce.
Collaboration and Continuous Improvement
- Work closely with careerzynith clearing operations in daily interactions with fund companies, transfer agents, contra firms, and other external partners.
- Participate in testing and validation efforts for new technology enhancements and vendor changes.
- Contribute to process documentation and knowledge sharing within the team.
- Provide feedback to leadership on opportunities to streamline workflows.
Essential Qualifications
- High school diploma or equivalent required; associate degree or bachelor’s degree in finance, business, accounting, or a related field preferred.
- Strong attention to detail and a commitment to accuracy in all work performed.
- Basic understanding of financial services, investment products, or reconciliation processes.
- Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Excellent written and verbal communication skills.
- Ability to work independently in a remote environment while managing time effectively.
- Strong problem-solving skills and willingness to learn new systems and processes.
- Reliable high-speed internet connection and a dedicated home office workspace.
Preferred Qualifications
- Prior experience in data entry, operations, customer service, or financial services is a plus, though not required.
