Overview
We're a growing healthcare professional services firm seeking a detail-oriented and proactive Bookkeeper / Staff Accountant to take ownership of our day-to-day financial operations and help build the infrastructure to scale with us. In this vital role, you'll manage our financial records with precision and integrity, supporting our commitment to transparent reporting, GAAP compliance, and efficient operations. This is a hands-on opportunity ideal for someone who enjoys both the rhythm of recurring close work and the creative challenge of structuring systems.
You'll work directly with ownership and have real influence over how our finance function evolves.
Responsibilities
Maintain and update the general ledger in QuickBooks Online, including daily transaction coding and account analysis
Run month-end close: journal entries (debits and credits), accruals, prepaids, balance sheet reconciliations, and timely financial statement delivery in accordance with GAAP
Perform monthly bank and credit card reconciliations, resolving discrepancies promptly
Manage accounts receivable — client invoicing, collections follow-up, and aging reviews
Manage accounts payable — vendor bills, approvals, payments, and 1099 tracking
Build and maintain financial forecasts, cash flow projections, and budget-vs-actual reporting
Restructure and refine our chart of accounts, class/location tracking, and reporting framework to support growth
Partner with leadership on financial insights, margin analysis, and ad-hoc reporting
Assist with payroll processing and related tax compliance activities
Maintain thorough documentation of all financial transactions and support audit preparation
Coordinate with our external CPA on tax prep and year-end activities
Requirements
3+ years of hands-on bookkeeping or staff accounting experience, ideally with a services-based business
Advanced proficiency in QuickBooks Online — comfortable beyond the basics, including app integrations, custom reporting, and class/location tracking
Strong understanding of GAAP, double-entry bookkeeping, and accrual accounting
Demonstrated experience with journal entries, account analysis, balance sheet reconciliation, and general ledger accounting
Experience building financial forecasts and cash flow models
Familiarity with payroll processing, tax compliance, and bank reconciliation procedures
Ability to think structurally — you see when books need to be cleaned up or rebuilt, not just maintained
Excellent organizational skills with the ability to manage multiple priorities and reconcile to the penny
Self-directed; comfortable setting your own priorities in a part-time capacity
Strong written communication skills for financial reporting and documentation
Proficiency in 10-key data entry for accuracy and speed
Preferred Skills
Experience with Quickbooks Online, Time tracking systems, and ADP Run
Familiarity with multi-entity or project-based accounting
Background working with firms in the $3M–$10M revenue range
Bachelor's degree in Accounting or Finance; CPA or QuickBooks Online ProAdvisor a plus
