Job Summary:
We are seeking a detail-oriented, forward-thinking, and highly organized individual to join our team as an Assistant Client Success Specialist. The Assistant Client Success Specialist will be available during certain business hours and evenings and weekends to handle client phone calls, urgent matters, and client follow ups for scheduling intake appointments. This individual will work closely with clients, therapists, and administrative staff. The ideal candidate will possess excellent communication skills, the ability to multitask and be comfortable working in a fast-growth environment.
Key Responsibilities:
Answer phone calls during evening and weekend hours
Handle overflow calls during business hours
Respond to time sensitive emails and requests during evening and weekend hours
Provide exceptional customer service and support to clients and therapists via email or phone
Coordinate the scheduling of teletherapy appointments for clients and therapists using TalkNY’s scheduling software when necessary
Follow up with clients regarding intake appointments
Assist with scheduling and administrative tasks as needed
Qualifications:
Prior experience in scheduling, administrative support, or a similar role, preferably in a healthcare or mental health setting
Proficiency in using scheduling software and other office tools (e.g., Microsoft Office Suite, Google Workspace, EMR/EHR -AdvancedMD experience is a plus)
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Ability to handle sensitive and confidential information with discretion
Strong problem-solving skills and the ability to handle stressful situations calmly
Ability to work independently and as part of a team in a remote work environment.
Compensation and Benefits:
Compensation: $24/hour

Physical Requirements:
This position primarily operates in an office environment. The role requires the ability to sit for
extended periods, use a computer and other standard office equipment, and occasionally lift or
move items up to 10–15 pounds. Some walking, bending, and standing may be required.
