Job Description:
The Senior Administrative Business Partner – GEMS plays a key role in supporting the firm’s Senior Managers and Directors by handling various administrative duties through a queue-based support model known as Global Engagement & Management Support (GEMS).
This position requires strong independent judgment and the ability to effectively prioritize, organize, and manage a diverse workload in a fast-paced, virtual work environment. The Sr. ABP – GEMS is flexible, proactive and resourceful, while maintaining client and stakeholder confidentiality, and a high-level of customer service and responsiveness.
Responsibilities
Coordinate travel logistics, including booking flights, hotels, and other arrangements through the firm’s travel platform
Expense management: prepare and submit expenses ensuring compliance with firm policies; invoice coding and routing
Assist with client engagement set up and support activities, such as new client acceptance, client relationship management data entry, completion of vendor/due diligence forms, and electronic file coordination
Draft, format, and finalize business correspondence including proposals, engagement letters, and contracts
Deadline management to include updating and monitoring tax due date reporting
Create and/or format PowerPoint presentations using firm branded templates
Provide CPE support through the completion of NASBA-required CPE paperwork for team learning
Leverage internal network and teams to effectively manage workflow
Participate with onboarding of new GEMS team members and continuous team training
Other duties and special projects as assigned
Qualifications
High school diploma or GED required, high school diploma preferred
3 years of relevant experience required, 5 to 8 years preferred
Advanced organizational and priority management skills
Strong written and verbal communication skills, including the ability to communicate effectively with stakeholders and internal clients
High level of discretion and confidentiality in handling client and firm-sensitive information
Advanced proficiency in Microsoft Office Suite (especially Outlook, Excel and PowerPoint) and collaboration platforms such as Teams, SharePoint, and virtual meeting tools
Executive presence and interpersonal maturity to interact with leaders and internal stakeholders
Project coordination capability, including managing multiple tasks and follow-ups through to completion
Operational discipline & systems management, including working in queue-based ticket platform (FIFO), knowledge assets, and support SLAs and process adherence
Ability to operate effectively in a matrixed and evolving organization, ensuring compliance with firm standards
Strong judgment and situational awareness to determine when to escalate issues, reroute requests, or realign priorities
Able to work overtime as requested during peak seasons
The pay rate range is $27.31 to $39.75. Actual compensation is influenced by a variety of relevant factors including but not limited to applicant’s skills, prior experience, qualifications, degrees/certifications, work arrangements and geographic location.
