SIOP & Materials Management Office Manager (Hybrid)

About the position The SIOP & Materials Management team is seeking an experienced Office Manager to provide support to the senior leadership team. This position serves as a key collaborative team member, assisting with the planning, coordination, and execution of a variety of administrative tasks. This position is hybrid based in Charlotte, NC, and requires periodic onsite support. Responsibilities • Provides administrative support to senior leaders within SIOP & Materials Management • Maintains calendars, schedule meetings and appointments • Makes business travel arrangements and process expenses in a timely manner • Organizes Quarterly townhall meetings, including support of scheduling, agenda creation, and material preparation in coordination with other leaders • Responsible for scheduling weekly staff meetings, preparing meeting minutes and tracking actions • Supports and coordinate leadership offsites, including providing logistical support to ensure smooth execution • Collaborates with admin peer group to support SIOP & Materials Management or Collins level event planning activities • Supports leadership and new team member onboarding activities including employee engagement initiatives • Coordinates office activities and maintains office supplies inventory Requirements • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience • Proficient with Microsoft Office and Zoom • Must be willing and able to travel less than 10% Nice-to-haves • Previous working experience supporting senior leaders • Ability to work independently to manage special assignments and initiatives • Experience with American Express Business and SAP Concur • Skilled in drafting and editing professional communications and presentations • Bachelor’s degree preferred • The ideal candidate is a highly organized professional with strong business acumen, a proactive problem-solving approach, and the ability to thrive in a dynamic, fast-paced environment.
