Compensation: $65,000-75,000 plus up to 5% Bonus
Position Overview:
The Proposal Coordinator plays a key role in managing all aspects of the proposal lifecycle, including the development, tracking, and submission of bid responses. This position is responsible for maintaining all related documentation, contact lists, databases, and materials. As a member of the Sales team, the successful candidate will leverage strong analytical and creative abilities to coordinate timelines, gather and synthesize information, and collaborate with technical, management, and production teams to develop high-quality, competitive proposals in response to Requests for Proposals (RFPs). The role operates within a fast-paced, high-growth environment, requiring the ability to adapt to shifting priorities, meet tight deadlines, and consistently deliver work to a high standard.
Key Responsibilities:
Review proposal requirements & prepare schedule to facilitate the proposal process
Communicate and coordinate with others to gather information in accordance with RFP requirements, understanding and outlining bid requirements
Create and manage proposal templates and content library
Manage the schedule of bid submission packages and the organization of proposal content into cohesive, graphic intensive documents
Organize all written materials supplied by support groups including organization of sections, tables, exhibits and attachments
Write and edit sections of proposals, complete document formatting and proofreading
Maintain an up-to-date bid schedule and tracker and follow up on bid results
Develop and maintain templates and standards for all proposals
Add to the knowledge base of reusable content by compiling an update of project content
Other Duties - contribute to special projects and perform additional tasks as assigned by management.
Requirements:
Work Eligibility: Must possess Canadian citizenship, permanent resident status, or a valid work permit.
Work Experience:
3-5 year of relevant professional experience in the coordination of RFP/BID proposals
Skills and Competencies:
Excellent command of written and verbal English
Proven interpersonal and problem-solving skills
High energy, self-motivation, high integrity work ethic
Experience with RFP/BID proposal processes in the government sector would be a tremendous asset
Proficiency with MS Office, Adobe Illustrator and Photoshop are an asset
Superior organizational skills, attention to detail, including ability to prioritize and handle competing tasks with high quality standards and on-time delivery
Thrives under the pressure of meeting urgent short turnaround deadlines
Resourceful and self-directed
Excellent verbal and written communication skills, including superior editing and proofreading abilities
Education:
University degree in Business, Marketing or other related discipline(s)
