About the Role This is not an entry-level administrative position. We are only hiring someone with direct ABA therapy administrative experience in scheduling and staffing. The Operations & Scheduling Coordinator plays a critical role in getting clients into active services quickly and efficiently. This position directly impacts utilization, revenue stability, clinician satisfaction, and family experience. You will work closely with families, BCBAs, and RBTs to: • Coordinate client start dates in a timely and organized manner • Build therapy schedules with families based on availability and clinical recommendations • Match RBT availability with client needs and geographic location • Propose suitable clients to new incoming RBT candidates based on their location and availability preferences • Update CentralReach daily with all scheduling changes • Manage last-minute cancellations and staffing changes in real time • Maintain accurate, up-to-date scheduling systems • Ensure clients move from intake to active services as quickly and efficiently as possible This role requires urgency, strong communication, high accountability, and exceptional organization. Non-Negotiable Requirements To be considered, you MUST: • Have prior administrative/operations experience in an ABA therapy company • Have direct experience handling ABA scheduling and staffing • Have hands-on experience using CentralReach (strongly preferred) • Understand the complexity of ABA scheduling, cancellations, and utilization expectations • Be comfortable working in a fast-paced, growth-oriented environment We are hiring anywhere in the United States, but you MUST have the ABA therapy administrative experience described above to be considered. What We’re Looking For The ideal candidate: • Already understands ABA billing structures and utilization targets • Knows how to reduce delays between intake and service start • Is proactive rather than reactive • Communicates clearly and professionally with both families and clinicians • Thinks operationally — not just administratively • Can manage multiple moving parts without dropping details • Works with urgency and takes ownership Experience matching RBTs to clients based on geography and availability is a major plus.
