We're committed to delivering exceptional care and services that empower our clients to achieve their goals and live fulfilling lives. **Job Summary** We're seeking an experienced Administrative Support Specialist to provide administrative support to our integrated Adult Detox and Crisis Recovery Unit. This is a part-time remote opportunity that requires a high level of organization, attention to detail, and excellent communication skills. As an Administrative Support Specialist, you'll work closely with our ADU/CRC staff to provide back-up support during high volume periods and assist with various administrative tasks. **Key Responsibilities** As an Administrative Support Specialist at arenaflex, you'll be responsible for the following key tasks: * **Administrative Support**: Provide administrative support to the ADU/CRC staff, including phone screenings, referrals, and other duties as needed. * **Data Entry and Reporting**: Use spreadsheets or databases to organize information and produce standard reports, including complex disbursement forms, financial statements, and other reports as required. * **Accounting and Finance**: Set up accounts, reconcile ledgers, gather data for budget preparation, and prepare various accounting forms, including expense vouchers and invoices. * **Procurement and Logistics**: Verify requests for goods and services against County contracts and funding sources, order goods or services, and ensure delivery. * **Communication and Correspondence**: Compose routine correspondence on behalf of management, train new employees, and provide relevant policies and procedures. * **Scheduling and Coordination**: Schedule and cancel appointments, maintain calendars, schedule rooms for classes, meetings, and conferences, and coordinate audio visual and training equipment. * **Payroll Processing**: Verify timesheets, research and resolve payroll discrepancies, complete and verify data entry, distribute paychecks, and maintain attendance and leave tracking records. * **Data Management**: Act as a departmental resource in data management systems, provide training to new users, and coordinate Family and Medical Leave according to policies, procedures, and guidelines. **Essential Qualifications** To be successful in this role, you'll need to possess the following essential qualifications: * **High School Diploma or Equivalent**: A high school diploma or equivalent is required, with two years of administrative support experience. * **Administrative Experience**: Two years of administrative support experience is required, with a focus on data entry, accounting, and finance. * **Attention to Detail**: Excellent attention to detail and organizational skills are essential for this role. * **Communication Skills**: Strong communication and interpersonal skills are required, with the ability to work effectively with staff, clients, and external stakeholders. **Preferred Qualifications** While not required, the following qualifications are preferred: * **Associate's Degree in Business Administration**: An Associate's Degree in Business Administration or related field is preferred. * **Experience in Healthcare**: Experience working in a healthcare setting, particularly in detox and crisis recovery, is preferred. * **Certifications**: Certifications in administrative support, accounting, or finance are preferred. **Skills and Competencies** To succeed in this role, you'll need to possess the following skills and competencies: * **Technical Skills**: Proficiency in Microsoft Office, including Excel, Word, and Outlook, as well as experience with data entry and accounting software. * **Communication Skills**: Excellent written and verbal communication skills, with the ability to communicate effectively with staff, clients, and external stakeholders. * **Organizational Skills**: Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines. * **Attention to Detail**: Excellent attention to detail and accuracy, with the ability to maintain high standards of quality and attention to detail. * **Teamwork**: Ability to work effectively as part of a team, with a focus on collaboration and teamwork. **Career Growth Opportunities and Learning Benefits** At arenaflex, we're committed to providing opportunities for career growth and development.
