**Responsibilities**
As an Administrative Assistant/Data Entry Specialist at arenaflex, you'll play a critical role in supporting our team's efforts in grants management and financial systems. Your responsibilities will include:
* Maintaining expert knowledge of the grants management system and the funding search system, ensuring updates and troubleshooting as necessary.
* Performing compliant and accurate data entry into the grants management system for pre and post-award processes.
* Serving as the primary point of contact for help desk requests, resolving challenges and errors.
* Assisting with the award close-out process and ensuring timely updates in the grants management system.
* Executing periodic reports and reviewing the status of proposals, identifying inaccuracies and communicating them to the Executive Director.
* Taking corrective action in the system as instructed by the Executive Director.
* Managing requests for customized funding searches and maintaining a tracking system for follow-up and metrics.
* Developing and facilitating workshops and training on the grants management and funding search systems.
* Collaborating with the purchasing/travel agent to manage office supplies and maintain inventory.
* Performing data entry in the financial system and providing administrative support to the Controller.
* Providing administrative support to the Executive Director and colleagues as needed.
* Managing university office communications and updates, including IT and email distribution.
* Updating the RI website as directed and performing general office support tasks.
* Assisting with the coordination of Research Institute hosted events and recommending improvements to workflow and processes.
**Requirements**
To be successful in this role, you'll need to possess:
* A strong understanding of technology and data management systems.
* The ability to work independently and collaboratively within a team.
* Experience with data entry and administrative support tasks.
* Strong analytical and problem-solving skills, with the ability to troubleshoot and resolve complex issues.
* Excellent communication and interpersonal skills, with the ability to work effectively with colleagues and stakeholders.
* A high level of accuracy and attention to detail, with the ability to maintain confidentiality and handle sensitive information.
**Nice-to-Haves**
While not required, the following skills and experiences would be beneficial in this role:
* Experience with grants management systems or financial systems.
* Familiarity with workshop development and training facilitation.
* Knowledge of data analysis and reporting tools, such as Excel and SQL.
* Experience with website management and content creation.
