Job Title: Executive Assistant to Josh Zeman / Director of Development
Location: Remote
Commitment: 20-30 hours/week; subject to change
Job Description: We are looking for an Executive Assistant to support Zeman with all development and production tasks, and liaise with the SINISTER team to ensure seamless collaboration. The role calls for an experienced, motivated individual looking to take on important responsibilities and gain hands-on experience in the documentary production, web series, podcast, and social media landscapes.
After Hours is about to enter production on our next project, the candidate will be heavily involved with the production and receive an Associate Producer credit. This is a fully remote position with flexible hours, and opportunities for growth as the company continues to evolve.
Key Responsibilities:
- Day-to-Day Calendar Management: Manage Josh's busy schedule, including meetings, calls, and deadlines, ensuring seamless time management.
- Production Support: Assist with production logistics when necessary.
- Budget Management: Assist in the creation and management of project budgets, maintaining financial organization and cost-efficiency.
- Development Materials Creation: Assist in writing, designing, and giving notes on development materials, including pitch decks, treatments, verbal pitches, and sizzles.
- Distribution Coordination: Lead the distribution process, liaising with relevant partners and platforms to ensure timely delivery of materials, and maintain internal file organization to minimize confusion.
- Intern Hiring & Management: Oversee the hiring and training processes for interns and manage their daily tasks and performance.
- Internal Accounting: Assist with tracking all incoming and outgoing payments, keeping thorough internal financial records, and assisting with end-of-year tax filings.
- Meeting and Call Attendance: Attend meetings and calls with Josh, taking notes and following up on action items.
- Web-Series Assistance: Provide occasional support to the SINISTER team, including coordinating with Zeman's schedule, database management, and more.
Time Commitment:
- 20-30 hours per week, with potential for an increase if projects go into production. Normal daytime hours, but can be adjusted for the applicant's respective timezone.
Qualifications:
REQUIRED
- 1-2 years of experience in an executive assistant role, ideally within an entertainment agency or production company (documentary experience a plus).
- Experience supporting a busy executive.
- Proficiency in Google Drive, Slack, Notion, and phone-based communication tools.
- Strong multitasking abilities and attention to detail.
- Knowledge of the production process, with a willingness to assist on both small and large-scale projects.
- Strong organizational and communication skills.
PREFERRED
- Budget management and accounting experience.
- Experience hiring and managing teams.
- Graphic design and copywriting experience.
